Exhibitor terms and conditions

Guitar Show Denmark is open to importers, music equipment manufacturers, instrument builders, shops, publishers, education, vintage dealers, collectors, private exhibitors and more.

You can register as an exhibitor in four exhibitor categories:

  1. Import, wholesale (VAT registered)
    Only one exhibitor per stand.
  2. Retail, reseller (VAT-registered)
    Music trade with sales room. Only one exhibitor per stand.
  3. Guitar builder, vintage (VAT registered and not VAT registered)
    Professional, semi-professional, hobby business. Manufacture/production of instruments and equipment for sale.
    Vintage instruments – sale, exchange.
  4. Private, hobby. (not subject to VAT)
    Private collectors and enthusiasts. You are not allowed to run a VAT-registered business related to the music industry. Private exhibitors are allowed to share a stand with other private exhibitors.
    By registering, you as an exhibitor recognise the applicable exhibition conditions.

Set-up of stands
Access to the exhibition area is available:

  • Saturday from 08:00 – 09:45

Dismantling of stands
Stands can be dismantled at the earliest on Sunday after 17.15 when the fair closes.
Stand dismantling must be completed by 19:15 on Sunday.
No materials, packaging etc. may be left on the stand or in the hall. Any material left behind will be disposed of at the exhibitor’s expense.

Exhibitor card
Stands of up to 2 tables / 10 m² will receive 2 exhibitor passes.
Stands over 2 tables / 10 m² will receive 2 exhibitor passes – with the option for 2 more.
If you need more exhibitor passes, please contact the exhibition secretariat at the exhibition.

Terms of payment

  • Upon registration, an invoice for 100% of the stand rent will be sent with an 8-day payment deadline.
  • The balance must be paid no later than 30 days before the fair. The organiser has the right to reject exhibitors who do not meet these deadlines.
  • The online confirmation/invoice is your legal proof of your participation as an exhibitor.
  • In case of cancellation 30 days or earlier before the fair is held, 50% of the total order is refunded. If canceled later than 30 days before the fair, 0% will be refunded.

Safety

  • The exhibition area is permanently supervised from 08.00 on Saturday to 19.30 on Sunday.
  • This applies both during and outside opening hours.
  • The surveillance is carried out by authorised security personnel.

Stand, lighting and power

  • There are no stands with partitions or special lighting in the exhibition area.
  • The organiser will set up tables with black velour cloth on table stands.
  • Table placement can only be changed in agreement with the organiser.
  • Exhibitors are permitted to bring their own stand materials/equipment/structures.
  • All materials used in the construction of stands must comply with fire regulations. An official fire inspection will be carried out before the fair opens. Unauthorised materials must be removed from the stands on request.
  • It is the sole responsibility of the exhibitor to comply with applicable regulations. The organiser may order changes to unsafe/illegal stand construction.
  • Unusual stand material, including motor vehicles, must be cleared in advance with the fire authorities/organiser.
  • The exhibitor is responsible for the construction and decoration of the stand.
  • Materials that can damage walls, floors, including nails, screws, double-sided tape, etc. may not be used. Damage to the building structure, walls, floors, caused by stand construction is covered solely by the exhibitor.
  • All stands have access to electricity – 220 Volt. Other power requirements must be pre-booked and invoiced to the exhibitor by the supplier.

The organiser can change an order if it is deemed inappropriate for the fair or does not comply with the rules on noise zones.

Demos and events
Demos, clinics and other events at exhibitor stands must be agreed/coordinated in advance with the organiser.

Silent exhibition
Demos and equipment testing must take place at a moderate sound level and for a limited time. The organiser is the sole judge of what constitutes a moderate sound level and a limited period of time.

Clinics and events in collaboration with the organiser

  • If you as an exhibitor have a clinic/event that has the potential for a large format, an agreement can be made with the organiser to collaborate on this.
  • Exhibitor-arranged clinics and events on the stands must be agreed with the organiser in ‘good time’ before the event.
  • The organiser will market the agreed collaboration and take care of the practical part of the agreement.
  • Contact us as soon as possible.

Marketing
The organiser promotes the event on its own website and social media.

Trade at the exhibition
The organiser assumes no responsibility for trade at the exhibition, nor for disputes between seller and buyer, or between exhibitors.

Storage – service – safety etc.

  • Storage of cardboard boxes and other packing material during the fair is the responsibility of the exhibitor.
  • During the fair’s opening hours, service staff will be present and helpful to ensure a satisfactory organisation of the fair.
  • Exhibitors are responsible for covering other damage, including theft during the show.

Guitar Show Denmark s fire- and water damage insurance only covers damage in connection with the building’s structures. It does not apply to damage caused by the audience’s careful or negligent behaviour.

Force majeure
The organiser may cancel or postpone the fair if circumstances and factors beyond the organiser’s control make this necessary.
In the event of cancellation or postponement, the organiser is only liable to pay compensation for the stand fee paid.
